Project Queues and Submission policy

The following policies applies to projects submitted in the minilims system https://smallmoleculelims1.rc.fas.harvard.edu/minilims/ for non proteomics samples

  1. Projects are considered fully submitted when both the following criteria are met: i) an online submission has been completed with all required documentation and ii) samples, standards, etc have been delivered to the core. 
  2. Projects enter the analysis queue only when they are fully submitted. This means that projects submitted online weeks or months before the samples have been delivered only enter the queue once the samples are delivered to the core.
  3. If a project has been submitted online but the samples or necessary reagents, standarsd, etc cannot be delivered for an extended period, the core staff may delete the submission. A new online submission can then be made once everything is ready to be delived to the core. 
  4. Quotes are valid for the current fiscal year. Quotes prices will be honored if the project ends (and thus gets invoiced) in a new fiscal year, but only if the project has been fully submitted (see point 1) by the valid date on the quote.
  5. We recommend to deliver samples to the core only once an online submission has been created. This allows the samples to be immediatly labelled with the submission number and ensure tracking. Samples can be delivered before the online submission (for example in cases where you are waiting for a PO to be generated), however you must make sure that your contact at HCMS is aware and expecting those samples. 
  6. Samples delivered to the core for which no online submission is made within a reasonable time period (typically 1 month) might be discarded. Please make sure to communicate with your contact at HCMS if your online submission is delayed. 
  7. Standards and reagents delivered to the core as part of a projects will be added to the core's inventory. Typically this means that we cannot return partially used reagents, standards, etc. Please only deliver what you will not need in the future. In special cases, exceptions can be made but must be agreed on before the reagents are delivered (for example very small amounts of internal standard that will be made into solutions to be aliquoted between the core and the client).
